Online Contracts for HCPS Employees
For the 2013-2014 school year, Henrico County Public Schools (HCPS) will be distributing contracts and employee update forms via your Employee Direct Access (EDA) account. Your EDA access to retrieve your contract or employee update form will be available from May 23, 2013 to June 7, 2013. Click here for instructions on how to retrieve EDA online contracts.
Supported browsers for online contracts are Internet Explorer (9 or below) and Firefox. Internet Explorer 10 is not supported by Oracle and users will not be able to access EDA or online contracts.
Questions concerning your access may be emailed to edareset@henrico.k12.va.us. Click here for a list of contract types and employee categories that will not have online contracts generated.
Annual Leave Cutoff Is June 14 for General Government Employees
The annual leave cutoff date is Friday, June 14 for General Government employees. Annual leave and floating holiday hours above the maximum allowed balance will be forfeited if they are not used before the cutoff date. The table below shows the maximum annual leave balance and accrual rates based on the number of years an employee has served the County:

The County’s online performance appraisal (OPA) system has been upgraded! The new R12 version of OPA has some notable changes. Things You Should Know about Oracle R12
The County’s Oracle HRMS and Financial system will be upgrading to Oracle R12 over the Thanksgiving holiday. Effective November 26, you will notice that the system will have a new blue color scheme (shown below). Logging in will not change—you will use your existing user ID and password. Important Note about Timecards
Beginning in B21 (March 24 – April 6) most full time exempt employees will begin using a new timecard in HRMS. Exempt employees will only be required to record exceptions to their normal 80 hours of regular pay. This change will not affect non-exempt employees and their timecard processing. Exempt employees will only submit a timecard when they have taken or earned any leave during a pay period. This quick reference provides a guide to the new exempt timecard. Also, starting with B22 (April 7) only 1 pay period of retro timecard entry (one pencil) will be available through Employee Direct Access (EDA) for all employees.
Important Note about 2013 Taxes
Please review your tax exemptions to ensure the proper amount of taxes is being withheld.
You can access this information using HRMS.
- Log in to the system, select your Employee Direct Access, and then choose My Payslip.
- Tax exemption information is located near the bottom of your online payslip (see example below).

The IRS provides tools on the web to help you determine proper W-4 withholding at www.irs.gov/individuals (click on IRS withholding calculator), or you can request IRS publication 919.
Please note, if you are filing exempt for either federal and/or state withholding taxes, the IRS requires you to file a new W-4 form for the exempt status by February 15 of each calendar year. If this is not done, the payroll office must change your tax withholding filing status to "single" with zero exemptions.

Remember you can log in to the system 24 / 7 to see your online payslip or make changes to your address or phone number. Having difficulty logging in? HCPS employees can request their password to be reset by sending an e-mail to edareset@henrico.k12.va.us.
